Appreciation lands when someone makes something for you by hand

The whole point of an appreciation day is that it feels like a gift rather than a line item. That is why a made-to-order espresso bar outperforms a tray of pastries and an urn of drip coffee. Someone asks how you take it, makes it in front of you, hands it over, and says something warm. It takes ninety seconds and it registers as care in a way catering trays do not.

Practically, these events run on a rolling basis rather than a fixed seating. People come down when they can, in waves that spike around the top of the hour and around meeting breaks. We plan staffing for the peaks rather than the average, because a fifteen-minute line turns a perk into an annoyance and people give up and go back upstairs.

We keep the menu broad on purpose for these days. Roughly a third of any office does not drink espresso, and nothing undercuts an appreciation event faster than someone walking up and finding nothing for them. Chai, hot chocolate, and seltzers sit on the standard menu alongside the espresso drinks, and whole, 2%, and oat milk come to every event.

For larger buildings we run multiple carts on separate floors rather than one cart and a long queue. It costs less than people expect and it changes the character of the day, because the coffee comes to each team instead of each team taking a twenty-minute round trip to find it.

Planning notes

How an appreciation day usually runs

  • A two-to-four-hour service window is the sweet spot — long enough that everyone gets down, short enough to feel like an occasion.
  • Mid-morning (roughly 9:30–11:30) catches the most people. Right after lunch works well for second-shift and hybrid teams.
  • Expect waves rather than a steady flow. We staff for the peak so the line never becomes a reason to skip it.
  • For multi-floor buildings we recommend a second cart over a longer single-cart window.
  • Each cart needs about a 5' x 4' footprint and a dedicated 15 Amp outlet on its own breaker.
