Executive and board hospitality is the one situation where the goal is for nobody to notice the vendor. The coffee should be conspicuously good and the service should be almost invisible: set up before anyone arrives, quiet during sessions, ready the moment the room breaks, and gone without a production at the end.

That changes how we staff it. These rooms are small — often twelve to forty people — so throughput is not the constraint. Precision is. Our barista works to your agenda rather than a fixed window, which usually means being fully ready fifteen minutes before each scheduled break and standing down in between rather than running continuous service.

Presentation is scaled up to match the room. Understated styling, proper glassware where it suits, floral or venue-matched detailing if you want it, and a cart that reads as furniture rather than equipment. For a board room the aim is that it looks like it belongs in the space.

We have delivered exactly this for Vanguard's executive leadership and for Comcast's annual executive conference at the Comcast Technology Center. In both cases the brief was the same — high-end, understated, and absolutely reliable on timing, because a room of senior people waiting on coffee is an expensive kind of waiting.

For multi-day leadership offsites we hold the same barista across all days. Senior groups notice consistency, and by the second morning the barista knows the room's orders, which is a small thing that lands well.
